Company Administrator

Young People’s Performing Arts Ensemble (YPPAE) invites applications for an administrative position to support General Administrative work for the Operations, Education and Productions work in the company.

This role will provide you experience in working in a performance arts group. You will work closely with the Artistic Director to manage events of YPPAE and support the day-to-day operations pertaining to Education, Productions as well as Assets and Facility Management.

YPPAE is a children’s performance arts group, dedicated to the research and development of Theatre Arts and Arts Education for the young, to stimulate creativity and independent thinking in them. It has been awarded the Singapore Chinese Cultural Contribution Award – Organisation Category in 2022, in recognition of its effort in promoting the Chinese culture.


JOB DESCRIPTION
To assist the Company in the areas of administration and ensure a smooth operation.

Duties & Responsibilities
General Admin Support
– answer and direct phone calls, handling mails, emails and forms etc
– act as the point of contact for internal and external parties
– transcribe meetings into minutes and send it to all parties involved
– take charge of procuring for goods and supplies such as stationery and lesson materials for the Company
– uphold, update and maintain office policies and procedures
– update and maintain the Company’s mailing lists

Asset & Facilities Managment Support
– work with external vendors on the maintenance of the office
– manage venue bookings for lessons and workshops

Education Support
– liaise and coordinate with trainers and teachers to ensure the smooth execution of lessons
– prepare the course materials required for the lessons and workshops

Production Support
– assist in the Company’s productions as Front-of-house or stage crew
– develop community interest in the works that the company produces

REQUIREMENTS
– An interest in Arts Education and promoting the Arts for children.
– Excellent communication skills and resourcefulness.
– Meticulous, organised and able to multi-task under tight timelines.
– Able to work independently and collaboratively with partners and colleagues.
– Proficiency in using Excel, PowerPoint and Word.
– Proficient in Chinese and English
